Board Position Descriptions:
PRESIDENT
- Shall oversee the entire organization to ensure the smooth operations of MCCTA.
- Shall be the official spokesperson for MCCTA for external purposes.
- Shall preside over the MCCTA Board meetings and general meetings.
- Shall have an agenda set for all meetings.
- Shall have a working knowledge of parliamentary Procedures, Robert’s Rules of Order, and shall see that the by-laws of the organization are followed.
- Shall maintain regular meetings with the Faculty Advisor and Vice President.
- Shall approve priority points set by the Secretary.
- Shall have voting power.
VICE PRESIDENT
- Shall be first in command in the absence of the President. This includes taking over all responsibilities and duties of the President.
- In the event of permanent replacement during the current term, the Vice President must be approved for President by the faculty advisor.
- Shall be the liaison between alumni and the club.
- Shall be the student organizer for the Hall of Fame.
- Shall oversee necessary disciplinary actions for all members as per discretion of the Board as a whole.
- Shall maintain regular meetings with the Faculty Advisor and President.
- Shall organize and assist with special events and community service projects.
- Shall have voting power.
TREASURER
- Shall be the official manager of all the MCCTA funds, keeping neat and accurate records of all financial transactions.
- Shall work with the President in formulating a budget.
- Shall attend the mandatory Budget Meetings.
- Shall make a report at the weekly MCCTA Board meetings on the financial status of the club.
- Shall preside over “financial meetings” that will take place before each production in order to educate the production manager(s) of the most recent policies and procedures regarding the club’s funds.
- Shall act as the financial liaison between the Board and a production team to keep them updated on specific show budgets and should maintain and update a Google document with the working budget.
- Shall oversee the Apparel Sales Sub-Committee which consists of Secretary and Director of Club Marketing.
- Shall have voting power.
SECRETARY
- Shall take roll call at all meetings.
- Shall take accurate minutes at all Board meetings and shall have them prepared for the approval of the Board at the beginning of the following meeting.
- Shall distribute priority points.
- Shall maintain guild points.
- Shall generate all the official communication (such as correspondence and memos) between the Board and general members.
- Shall assist the Apparel Sales Sub-Committee which consists of the Treasurer and Director of Club Marketing.
- Shall act as club archivist.
- Collect show posters, programs, news clippings, etc. with the help of the Faculty Advisor.
- Make sure photos are taken for each show during the season.
- Ensures that the MCCTA archival hard drive is updated with the collected materials
- Shall have voting power.
MANAGING DIRECTOR OF MAINSTAGE & EXPERIMENTAL THEATRE
- Shall be the supervising production manager of Mainstage and Experimental Theatre Guild (ETG) MCCTA productions.
- Shall be the acting production manager of one MCCTA production during the course of their term.
- If a production manager is not found for a show, said director must assume the role, or find an appropriate club member to do so.
- Shall oversee the production managers for the Mainstage and Experimental productions.
- Shall create & update a Google Document of production teams for each semester with their fellow Managing Director.
- List every member of each production team, specifying whether they are a student or a hired staff member.
- Highlight those positions yet to be filled and remind the Board of said positions.
- Shall complete any necessary paperwork and/or tasks that must begin prior to production manager appointment. This includes, but is not limited to:
- Organizing the John P. Anderson Playwriting Competition
- Shall head the reading committee for Mainstage Theatre.
- Shall head the reading committee for Experimental Theatre.
- In the case that any of said productions are co-produced with the Marist Theatre Program, the Managing Director of Mainstage & Experimental Theatre shall collaborate with the Director for play selection and act as a student representative.
- Shall act as Student Representative on the John P. Anderson reading committee.
- Shall have voting power.
MANAGING DIRECTOR OF DINNER, MUSICAL & CHILDREN’S THEATRE
- Shall be the supervising production manager of Dinner Theatre, Musical Theatre, and Children’s Theatre MCCTA productions.
- Shall be the acting production manager of one MCCTA production during the course of their term.
- If a production manager is not found for a show, said director must assume the role, or find an appropriate club member to do so.
- Shall oversee the production managers for the Dinner Theatre, Musical, and Children’s Theatre MCCTA productions.
- Shall create & update a Google Document of production teams for each semester with their fellow Managing Director
- List every member of each production team, specifying whether they are a student or a hired staff member.
- Highlight those positions yet to be filled and remind the Board of said positions.
- Shall complete any necessary paperwork and/or tasks that must begin prior to production manager appointment. This includes, but is not limited to:
- Attending a meeting with Student Affairs/Sodexo about Dinner Theatre.
- Writing and sending letters to elementary and pre-schools for Children’s Theatre.
- Shall head at least two of the three reading committees under this position. Shall delegate the third reading committee to another Board member.
- In the case that any of said productions are co-produced with the Marist Theatre Program, the Managing Director of Dinner, Musical & Children’s Theatre shall collaborate with the Director for play selection and act as a student representative.
- Shall have voting power.
MANAGING DIRECTOR OF TECHNICAL THEATRE
- Shall preside over the technical aspects of the theatre, including sets, lights, and sound.
- Shall oversee the safekeeping and maintenance of all related supplies and materials.
- Shall serve as a resource person for this division.
- Shall serve as a technical director or designer for at least one production per term, and will continually strive to train others interested in said division.
- If a designer is not found for a show, said director must assume the role, or find an appropriate club member to do so.
- Shall ensure that necessary board operators are being found for all productions.
- Shall ensure that strike and maintenance is sufficiently completed after every production, and shall ensure that all changes and necessary follow-ups be completed.
- Shall have voting power.
CHAIRPERSON OF STAGE MANAGEMENT & PROPERTIES
- Shall oversee technical aspects of the theatre including props, stage managers, assistant stage managers, and headsets.
- Shall oversee the safekeeping and maintenance of all related supplies and materials.
- Shall serve as a resource person for this division.
- Will be the stage manager or properties master for at least one production per term, and will continually strive to train others interested in said division.
- If a master or manager is not found for a show, said chairperson must assume the role, or find an appropriate club member to do so.
- Shall schedule props closet clean-outs per semester, if necessary.
- Shall have voting power.
DIRECTOR OF CLUB MARKETING
- Shall serve as a resource person for this division.
- Shall act as publicity representative for one production per term.
- In the case that the Director of Show Publicity has already filled a position within the given semester and positions are still vacant, the Director of Club Marketing must assume a publicity representative role.
- Shall oversee and assist with publicizing all club special events (non-shows).
- Shall oversee all club publicity (i.e. season posters/brochures).
- Shall assist the Apparel Sales Sub-Committee which consists of the Treasurer and Secretary.
- Shall update and maintain the club’s social media outlets (such as Facebook, Twitter, and Instagram) and shall encourage the use of new media outlets.
- Shall oversee the publicity of General Member Meetings.
- Shall act as club “Webmaster.”
- Shall update the Webpage after every Board meeting, as deemed necessary.
- Shall keep up-to-date information regarding auditions, show dates, and other related information, including pictures and news articles.
- Shall review any written communications on behalf of the club with assistance from the President and Vice President.
- Shall assist with the organization of advertising MCCTA as an entity, both on and off campus.
- Shall periodically assess the effectiveness of advertising strategies.
- Shall have voting power.
DIRECTOR OF SHOW PUBLICITY
- Shall serve as a resource person for this division.
- Shall oversee the publicity representatives for each production within the current season.
- If a representative is not found for a show, said director must assume the role. In addition, said director must serve as the publicity representative for at least one show per term.
- Shall review any and all visual representations of all productions, (i.e. posters and programs).
- Revisions must be made prior to submission for Board approval. All posters must be sent to the set editing committee.
- Shall ensure that the production manager has supplied photocopies of rights & contracts and ensures they are followed properly.
- Shall work closely with the Chairperson of Box Office & House for program-editing committees.
- Shall oversee the publicity representative postings on the club’s social media outlets regarding productions (such as Facebook, Twitter, and Instagram) and shall encourage the use of new media outlets.
- Shall be responsible for posting all show publicity materials on YouTube.
- Shall have voting power.
CHAIRPERSON OF BOX OFFICE & HOUSE
- Shall serve as a resource person for this division.
- Will be the respective designer for at least one production, and will continually strive to train others interested in said division.
- If a manager is not found for a show, said chairperson must assume the role, or find an appropriate club member to do so.
- Shall seek out and make suggestions of individuals to fulfill manager roles that will subsequently be approved by the Board, if necessary.
- Shall be supervisor for House Design, Program Design, Ticket Design, and Box Office operations.
- Shall keep accurate record of ticket sales.
- Shall ensure that the Box Office Manager for said production prepares the cash box for each show.
- Shall be on the editing committee for programs and tickets.
- Shall have voting power.
CHAIRPERSON OF COSTUMES & MAKE-UP
- Shall serve as a resource person for this division.
- Will be the respective designer for at least one production per term, and will continually strive to train others interested in said division.
- If a designer is not found for a show, said chairperson must assume the role, or find an appropriate club member to do so.
- Shall schedule costume loft clean-outs per semester, if necessary.
- Shall have voting power.
